We at TH Coaching Ltd respect your privacy and this notice explains how we may use the information given to us before and during your registration. This notice applies to you if you have created an account to sign up to one of our extra curricular we run in schools or our holiday club/Saturday morning sessions. 

This policy also explains how we comply with the law on data protection, what your rights are and for the purposes of data protection we will be the controller of any of your personal information.

What data do we collect?

PTC Sports collects the following data: 

Name

Address

Date of birth of children

Phone number

Email

Credit/debit card details for payment of activities

Details of an emergency contact, next of kin 

Use of an online registration/password to use our online class4kids system

Records of attendance 

Marketing preferences so we know if you want us to contact you about any future clubs/sessions 

Medical conditions 

We may record interactions between us such as telephone, email , text messages


Where we collect your information

PTC Sports collects your information when you register on the online portal called Class4Kids or via text message, phone conversation, email to taskin.huseyin@ptcsports.co.uk , info@ptcsports.co.uk or via mobile telephone 07513 522896. 


We may also collect personal information about you indirectly from the following sources: 

School

Family member

Friend 

Next of kin 

Sessions may be delivered in a school where your child attends whereby electronic devices such as mobile phones are prohibited therefore we may need to access information from the school to get in contact with the above.


If you are providing us with information of next of kin, emergency contact, family members, they have a right to know and to be aware that we hold there information and how we have collected it. Please share this privacy policy with them whereby you feel that they understand it fully and are happy to comply. 


We may also collect information from you when you visit out website, www.ptcsports.com via your browsers cookies. 


How will we use your data?

PTC Sports collects your data so that we can;

Process your order, manage your account

Email you with any changes to sessions, cancelled sessions, promotions on sessions, new term dates.

Any services we might feel you will be interested in. 

Any emergencies such as injuries we need to call you about. 


If you agree our company will share your data with lead senior staff members who run sessions whereby they will be your point of contact. 


When PTC Sports processes your order, it may send your data to, and use resulting information from, credit card reference agencies to prevent fraudulent purchases. 


We record all interactions you may have us to allow us to properly manage and administer your order. We have an interest in retaining records in relation to complaints or claims. We need to retain records to properly administer and manage your order and to continue to run PTC Sports correctly. 


How we store your data

PTC Sports securely stores your data using our online portal class4kids which is securely password protected. 

Any information gathered via leaflet is processed and the leaflet is destroyed by shredding it. 

Any information gathered from a school and is given to us via the school is kept for the duration of the term and then destroyed by shredding it. 

Any information gathered via text message is saved on a password protected phone. 

Any information gathered via email is securely password protected. 


The duration for which we retain your personal information will differ depending on why we have collected it from you. Information may be rated on a long term basis if you have registered to our online system . Where there is no legal requirement we will retain all physical and electronic records for a period of 6 years after your last contact with us. 

Exception to this will be if there are any outstanding payments due which we need to follow up. 


It is important that you let us know if any of your personal information changes such as address, phone number or email address. You can change this on your online portal if you have created an account. Alternatively you can email us taskin.huseyin@ptcsports.co.uk or by using the contact us tab on our website.


Disclosure of your personal information

We share personal information with the following parties;

Any party approved by you

To any governing bodies for the sports delivered by us, to allow them to properly administer the sports on a local level and in schools. 

Other service providers, for example payment processors, promotional providers, social media for photos/videos

Our suppliers who may ship clothing, merchandise to you if purchased. 

The government where we are required to do so by law to assist with any investigations.

Police, law enforcement and security services to assist with investigation and prevention of crime and the protection of the national security. 

Local authority, social services or safeguarding bodies, to assist with the protection and safeguarding of young people and vulnerable adults 


Marketing

We would like to send you information about new sessions including start dates for our community sessions such as Saturday morning football and Holiday clubs and services of ours you might be interested in such as a direct link to buy club apparel from our online shop via www.rockthedragon.co.uk
