Terms & Conditions
These Terms and Conditions apply to the supply of any children’s activities whether booked by the parent/carer on our website or directly with a member of staff. This includes holiday camps, breakfast and after-school clubs and any other activities supplied by a member of PTC Sports.
By booking a class with PTC Sports you are acknowledging your full acceptance of these Terms and Conditions.
By using our website, you confirm your acceptance of those parts of these Terms and Conditions which are applicable to use of our website.

Booking a Class/Session
Upon receipt of a completed booking form and full payment from the parent/carer, PTC Sports will confirm the booking via an email to the email address provided.
Before making a booking, please ensure that your child is available to attend the class/session and meets the required conditions for participation in the class.
Refunds
Parents/carers are entitled to cancel a booking and receive a refund excluding a £5.00 administration fee within fourteen (14) calendar days from the date of receipt of the confirmation e-mail of the booking. This is accordance to the Consumer Contracts Regulations 2013.
However, once a class/session has been attended, there will be no refund issued by PTC Sports, even if the cancellation period is still running.
Additionally, if there is a cancelation after the class/session/term has commenced, parent/carers will be expected to pay PTC Sports for the services provided up until the time we have been informed that there has been a changed mind. Outside this cancellation period you cannot cancel.
Late Pick ups
Any child collected 10 minutes or later after the end of the class/sessions will incur a late collection fee of £5.00. If there is a regular occurrence of a parent/carers lateness to collect their child or children after the class/sessions, the child or children will be removed from the registers for future classes/sessions immediately and a refund of any remaining classes/sessions will be issued to the parent/carers.
Behaviour
PTC Sports both promote and lead inclusive classes/sessions. However, PTC Sports will not tolerant any acts of violence, racism, prejudices or inappropriate language being used towards any other children or members of staff.
Any child or children found to be in breach of our expectations of tolerated behaviours, will be immediately removed from the registers for future class/sessions and a refund of any remaining classes/sessions will be issued to the parent/carers.
Additionally, if a child or children consistently fail to follow the clear instructions and guidance being provided by any of the coaches, and hence putting themselves or others health and safety at risk, the child or children will be removed from the registers for future classes/sessions immediately and a refund of any remaining classes/sessions will be issued to the parent/carers. The child or children may also not be able to attend any future PTC Sports classes/sessions.
Class Changes
In the event that PTC Sports have to cancel a class/session for any reason, an offer of an alternative provision will be provided for the of the class/session to the parent/carers. In the event that an alternative provision cannot offered, then a full refund will be issued to the parent/carers.
The parent/carers should notify us prior to the start date of the re-arranged class/session that they would prefer a refund to be issued and the refund will be issued to the relevant person who booked the full value of the amount paid for the class/session.
In the event of bad weather, suitable indoor activities will be organised to replace outdoor activities, at the discretion of the PTC Sports staff.
Leaving a club/camp
Each child must be collected by a parent or guardian unless express written consent has been given prior to the commencement of the class/session, confirming that the child may leave alone. Without this written consent, the child or children will not be allowed to leave until the parent/carers or allocated guardian/adult has arrived to collect the child or children from the PTC Sports staff.
Child Protection
All PTC Sports staff members hold current child protection qualifications and an Enhanced DBS check certification. If a child or children make a disclosure of abuse, or a member of staff believes that a child or children are suffering from a form of abuse, PTC Sports will act in accordance with our child protection policy.
Medical information
It is imperative that parent/carers ensure that both accurate and relevant medical information or conditions of the child or children must be fully disclosed in writing at the time of booking and also to the designated staff member before the class/session begins.
If any medical information or conditions are not disclosed in this process, then PTC Sports will not be responsible where the steps taken by it (or not taken) would have been different if the medical information or condition had been disclosed.
PTC Sports can only administer medication in an emergency and then only where a member of staff with an appropriate level of qualification is present at the emergency.
Health & Safety
A full risk assessment will be carried out by PTC Sports in respect of each class/session.
PTC Sports staff members involved in the provision of the class/session hold at least a current Emergency Aid Certificate issued by an appropriate National Governing Body.
By agreeing to these terms of use, parent/carers provide consent for PTC Sports staff to administer all necessary first aid to a child or children who require the attention at any time.
Personal Belongings
PTC Sports do not accept responsibility for loss or damage to a child or children's personal belongings whilst attending a class/session. Parent/carers are responsible for ensuring that no valuables (including electronic devices) are brought to the class/session by their child or children.
Please ensure clothing is suitable and appropriate for the activity, whilst also ensuring the child or children have a water bottle in order to remain hydrated throughout the activity. Please make sure your child brings a pack lunch/snack (NO NUT CONTENT).
These Terms of Use are governed by English law and subject to the exclusive jurisdiction of the Courts of England. For parent/carers who live in Scotland, they can bring legal proceedings in respect of the products in either the Scottish or the English courts.
